Online booking
Patients pick a service and a free slot from your opening hours; reminders and a cancel link go out by email.
Patient records
Essentials only: details, appointment history and prescriptions, with printing, an access log and a review list instead of automatic deletion.
Front desk
A Today screen with the day’s appointments, a calendar by day, week or month, and staff roles that see only what they need.
Ready-made pages
The wizard adds services, starter pages, a menu and legal pages to start from, so the site is live on day one.

What Gradespace Clinic keeps

What it isn’t: It is not a full clinical records (EHR) system. Detailed clinical notes, test results and referral letters belong in a dedicated clinical system.
Your clinic is the data controller for the records you keep, and is responsible for following its local data-protection law (for example UK GDPR, or the Nigeria Data Protection Act).

Staff only
Records are never shown on the public website or through its public data feeds; only signed-in staff with permission can open them.
Access by role
Front desk and optometrist roles come with sensible access. With Pro you choose exactly what each role can do.
Access log
Opening, changing, printing, exporting or erasing a record is logged, and only administrators can see the log.
Private file storage
Uploaded prescriptions and payment proofs go into a locked private folder and are only opened for signed-in staff with permission.
Rate limits
Online booking, uploads and sign-in are limited per visitor, to slow down spam and password guessing.
Review before deleting
Nothing is deleted automatically. Records past the period you choose are listed for review, and deleting one asks you to type a confirmation first.

How updates work
Updates come straight from thegradespace.com, over a secure connection with time-limited download links for your licensed site. They install with one click from the WordPress Updates screen, like any other plugin. We test each release against the current version of WordPress before it goes out, and every release says which WordPress version it’s tested up to.
What “lifetime licence” means
You pay once. The licence lasts for life and every future update is included: there are no renewals or subscriptions. If our server can’t be reached, your site carries on as it is.
Your data stays on your website
Bookings, records, messages and content are kept in your own WordPress database, on your own hosting. There is no Gradespace cloud. Our server only sees your licence key and website address, when your site checks its licence and updates.

Questions
- Do patients pay online?
- Bookings don’t need payment. If you switch on the shop, customers can pay by bank transfer (with proof upload) or pay in store, and you can add any WooCommerce payment method.
- Where are patient records kept?
- In your own WordPress database, on your host. Nothing is sent to us. Records are listed for review after the period you choose; an administrator deletes them with a typed confirmation.
- Is it a full clinical records system?
- No. Gradespace Clinic keeps essential patient records: contact details, appointment and purchase history, current spectacle and contact-lens prescriptions and an access log. Detailed clinical notes belong in a dedicated clinical system. Your clinic is the data controller and is responsible for following its local data-protection law.
- Is it a one-off payment?
- Yes. You pay once, the licence lasts for life and every future update is included. There are no renewals or subscriptions.
- What do I need to run it?
- A WordPress website (6.8 or later, PHP 8.0 or later) on any ordinary host. You install the free Gradespace Core plugin, the kit’s plugin and its theme, then the setup wizard walks you through the rest.
- What counts as a website?
- One licence covers one live website (Agency covers 5). Local and staging copies (localhost, .local, .test, staging.… and dev.… addresses) are free and never use up your licence.
- Can I change the design later?
- Yes. Choose a different design and colour palette in Site Settings → Design & colours at any time; your content stays as it is. You can preview a choice privately before visitors see it.
- How do updates work?
- Updates come from thegradespace.com and install with one click from the WordPress Updates screen. Each release is tested against the current version of WordPress first, and says which version it’s tested up to.
- Can I upgrade later?
- Yes. Move from Starter to Pro or Agency by paying the difference, from your licences page or from the kit’s Licence tab in WordPress. Your key stays the same.
- Refunds
- 14-day money-back: if the kit isn't right for you, ask within 14 days of buying for a full refund (the licence is then switched off).
