What it does
Tutor profiles they keep up to date
Subjects, levels, exam boards, online or in person, rates, qualifications, hours and days away, edited by each tutor. The office keeps the name and the DBS note: “DBS certificate seen by us” and the month.
Online booking with real free times
Families choose a lesson, a tutor or “any tutor”, a day and a time. Only times when the tutor teaches, isn’t away and has a gap are offered. Requests or instant, reminders the day before and a link to move or cancel.
Children and their parents
A child’s booking needs a parent or guardian’s name, email and phone, and every email about the child’s lessons goes to the parent. Trial lessons once per student, and brothers and sisters each get their own.
Weekly until the end of term (Pro)
Families tick “Repeat weekly until the end of term”: every week is booked together, or none if one has gone, with half terms and holidays left out. One email and one calendar file for the series, and one page to change or cancel one lesson or all of them.
Groups, the register and packages (Pro)
Group sessions with places and a waiting list where the first in line gets a freed place, a weekly timetable within your term dates, an attendance register with a spreadsheet download, and lesson packages counted down as lessons are booked.

How updates, your licence, your data and help work, now and later.
How updates work
Updates come straight from thegradespace.com, over a secure connection with time-limited download links for your licensed site. They install with one click from the WordPress Updates screen, like any other plugin. We test each release against the current version of WordPress before it goes out, and every release says which WordPress version it’s tested up to.
What “lifetime licence” means
You pay once. The licence lasts for life and every future update is included: there are no renewals or subscriptions. If our server can’t be reached, your site carries on as it is.
Your data stays on your website
Bookings, records, messages and content are kept in your own WordPress database, on your own hosting. There is no Gradespace cloud. Our server only sees your licence key and website address, when your site checks its licence and updates.

Questions
- Can families book the same lesson every week?
- Yes, on Pro with your term dates. On the last booking step, “Repeat weekly until the end of term” shows how many lessons that is and which weeks are left out (half terms, holidays and closures). Every week is booked together or not at all, “any tutor” keeps the same tutor for the whole series, and a lesson package pays for as many as it has left. Reminders still go before each lesson. It needs Gradespace Core 0.8.0 or later.
- How are children’s details looked after?
- A child’s booking needs the parent or guardian’s name, email and phone, and the student record is marked under 18, so every email goes to the parent. Out of the box only administrators and the Office role see students, parents and enquiries; tutors see their own lessons. Students come up for review after the months you choose and nothing is deleted automatically. Everything stays in your own WordPress database; our server only sees your licence key and website address.
- Can families pay online?
- Booking doesn’t need payment: prices are shown (or switched off) and you take payment as you do today. On Pro, with online payments on through Stripe directly or the WooCommerce checkout, a lesson type can ask for all or part of its price when booking, and families can buy lesson packages online. Packages can also be sold at the desk. Group places are paid with a package or at the centre.
- What do tutors see when they sign in?
- Each tutor gets a sign-in with the Tutor role. They see My lessons (the next four weeks, with each student and the parent’s phone), the timetable with only their lessons and My hours, and they keep their own profile up to date, but not their name or the office’s fields. On Pro they take the register for their lessons and get a private calendar feed. They can’t see other tutors’ lessons, student records or settings.
- Is it a one-off payment?
- Yes. You pay once, the licence lasts for life and every future update is included. There are no renewals or subscriptions.
- What do I need to run it?
- A WordPress website (6.8 or later, PHP 8.0 or later) on any ordinary host. You install the free Gradespace Core plugin, the kit’s plugin and its theme, then the setup wizard walks you through the rest.
- What counts as a website?
- One licence covers one live website (Agency covers 5). Local and staging copies (localhost, .local, .test, staging.… and dev.… addresses) are free and never use up your licence.
- Can you install it for me?
- Yes. Done-for-you installation is from £99: we install Gradespace Core, the kit and its theme on your hosting, activate your licence, run the setup wizard with your details and hand it over with a short walkthrough. Complete setup and customisation, from £299, adds your content, bookings, forms and emails, small design tweaks, redirects from your old site, a staff training session and 30 days of help after launch. The price depends on your hosting and the size of the site, and is agreed before we start. Prices include VAT where it applies, and the kit licence is bought separately. Ask for a quote on our contact page.
- Can I change the design later?
- Yes. Choose a different design and colour palette in Site Settings → Design & colours at any time; your content stays as it is. You can preview a choice privately before visitors see it.
- How do updates work?
- Updates come from thegradespace.com and install with one click from the WordPress Updates screen. Each release is tested against the current version of WordPress first, and says which version it’s tested up to.
- Can I upgrade later?
- Yes. Move from Starter to Pro or Agency by paying the difference, from your licences page or from the kit’s Licence tab in WordPress. Your key stays the same.
- Refunds
- 14-day money-back: if the kit isn't right for you, ask within 14 days of buying for a full refund (the licence is then switched off).
