Running your website

Salon settings

Every tab of Salon → Settings explained: business details, contact, emails, online booking rules, opening hours, the loyalty card, records, privacy, payments and your licence.

Salon → Settings is where you type your salon's details once, so the website, emails and printouts all update. Each tab has its own Save changes button at the bottom, which saves that tab only.

Features marked (Pro) need a Pro or Agency licence.

Business

Your names, logo, the staff sign-in page, search results and social media.

  • Trading name: what people see on the website. Also used as the website's title.
  • Registered company name (optional) and Company number (optional): used on receipts, invoices and the copyright line.
  • Tagline (optional): a short line shown under the logo in the footer and in search results.
  • Logo: shown in the header and footer, in emails and on the sign-in page. Click Choose image, pick a picture from the media library or upload one, then click Select; Change image swaps it later. A wide PNG or SVG with a see-through background works best.
  • Sign-in page photo (optional) (chosen with Choose image in the same way) and Line at the bottom of the panel (optional): for the staff sign-in page.
  • Description of the website (optional) and Share picture (optional): how the website looks in search results and when a link is shared on WhatsApp or Facebook.
  • Social media: paste the full link to each page. Leave a box blank to hide that icon.

Contact

How people reach you, shown in the header, footer, contact sections and emails.

  • Phone numbers: one per line, the main number first. Country calling code (optional) and WhatsApp number (optional).
  • Public email: shown on the website.
  • Address and Google Maps link (optional).
  • Contact form: Subjects to choose from (optional), the Automatic reply, Review messages after (months) and When messages are due. See Messages.

Email

Where the website's emails go, who they come from, and which are sent.

  • Send notifications to: new bookings, cancellations and contact form messages. Put commas between several addresses.
  • Send new bookings to (optional): new online bookings and cancellations. Leave blank to use the addresses above.
  • Send contact form messages to (optional): leave blank to use the addresses above.
  • From name (optional), From email (optional) and Replies go to (optional). Use a From email on your website's own domain so emails don't land in spam.
  • Emails to clients: switch each one on or off: Booking request received, Appointment confirmed, Booking request declined, Appointment cancelled, Reminder the day before, Payment received, Patch-test reminder, Refund sent, Gift voucher receipt, Gift voucher expiry reminder, Package bought and Thanks for your message.
  • Emails to the salon and stylists: for example Gift voucher sold and New message from the website. Appointments you add yourself don't email the salon.

Bookings

How online booking works.

Online booking

  • Take bookings online: off, the booking form says to call or message you instead.
  • Confirm online bookings straight away: on (the default), the time is theirs as soon as they book. Off, each online booking is a request you confirm or decline; the time is held meanwhile.
  • Group bookings: several people at the same visit: see Group bookings.
  • Services in one booking (up to): for example 3, for a cut, a colour and a treatment one after another.
  • People in one group booking (up to): for example 6.

When people can book

  • Notice needed (hours): for example 2 means nothing sooner than two hours from now.
  • Book up to (weeks ahead).
  • Offer start times every (minutes): for example 15 offers 9:00, 9:15, 9:30…
  • Gap after every appointment (minutes): for tidying and a coffee. Each service can add its own gap.
  • Clients can change or cancel online until (hours before): after that, the link in their email asks them to call you.

Your booking policy

  • Cancellation policy (optional): shown on the booking form before people book (and pay a deposit).
  • Note on the booking form (optional): for example "Please arrive with clean, dry hair for colour appointments."

Patch tests

  • Your patch test service (optional): the short, usually free, service booked automatically when a client hasn't had a patch test.
  • Patch test at least (hours before): for example 48.
  • A patch test is good for (months): for example 6. The booking form asks about a patch test in this many months.

Walk-ins

  • Show "Walk-ins welcome": a strip at the top of the website, mainly for barbers.
  • The strip says (optional): for example "Walk-ins welcome · or book your chair online".
  • Work out the wait for (optional): choose your standard haircut to show the current wait, worked out from today's bookings. Empty: no wait time is shown.

Prices

  • Show prices on the website: off, visitors see "Price on consultation".
  • Note under the prices (optional): for example "Prices depend on hair length and stylist level".

Opening hours

When the salon is open. Appointments can only be booked inside these hours and inside each stylist's own hours.

  1. For each day, leave the switch on and set the opening and closing times, or switch it off if you're closed all day.
  2. Under Days the salon is closed (optional), add one per line: the date, then a note. For example 2026-12-25 Christmas Day. Nothing can be booked on these days.

A team member without their own hours works the salon's hours.

Loyalty card (Pro)

Records

The Records tab with Review clients after (months since their last visit)

Review clients after (months since their last visit): clients whose last appointment is older than this are listed under Clients → Due for review. Nothing is deleted automatically. See Clients.

Privacy

The Privacy tab with the cookie banner switch and text, and the legal pages settings: law that applies and email for privacy requests
  • Show the cookie banner and button: leave on unless another plugin (an add-on for WordPress) already handles cookie consent.
  • Banner text (optional).
  • Law that applies and Email for privacy requests (optional): used in your legal pages.

Payments (Pro, administrators only)

Online payments, deposits and gift vouchers. See Deposits, payments and gift vouchers. This tab is only shown to administrators because it holds your payment keys.

Licence (administrators only)

Paste your licence key (it looks like GS-XXXX-XXXX-XXXX-XXXX) and click Activate to switch on updates and, with a Pro or Agency licence, the Pro features. It's the same as Settings → Gradespace licence. See Buying and your licence and Installing.

The look of the website is not in Salon settings but in Site Settings → Design & colours. See Designs, colours and pages.
