Setting up

The setup wizard

The step-by-step screen that gets a new tutoring website ready: what you teach, your tutors, lessons and prices, opening hours, online booking, and the starter pages, sample tutors and photos.

The setup wizard is a short series of screens that asks for what your tutoring website needs before families can book: your centre's name, how people reach you, the subjects and levels you teach, your tutors and their hours, your lessons and prices, when you're open and how online booking works. At the end it can add a full set of ready-made pages, a main menu, sample photos and sample tutors, so you start from a finished-looking website instead of blank pages.

It takes about five minutes. Everything you type can be changed later, and nothing you skip is lost.

This page covers the Tutor kit's wizard step by step. For the wizard in general (how the steps, Back and Skip for now work), see The setup wizard in the shared chapters. Features marked (Pro) need a Pro or Agency licence.

When the wizard opens

The wizard opens by itself the first time you sign in to WordPress after you switch on the Tutor kit plugin (a plugin is an add-on for WordPress) and the Tutor theme. See Installing.

Until you finish it, a reminder appears at the top of the Dashboard, the Plugins and Themes screens and the Tutoring screen. Click Continue setup to go back to where you left off.

How to run the setup wizard again

  1. Go to Tutoring → Settings.
  2. Click Run setup again at the top right.

Running it again is safe. It never adds a tutor or lesson type with the same name twice, the starter content step never makes copies, and pages you have edited are left alone.

The steps

The bar at the top shows all ten steps. A green tick means the step is saved. You can click any step's name to jump to it.

Step 1: Welcome

The first screen lists the steps ahead and reminds you that everything is also under Tutoring → Settings.

  1. Read the list. It is numbered the same way as the steps in the bar at the top.
  2. Click Let's start.

Step 2: Your centre

Your centre's name (or your own, if you tutor alone) and logo appear on the website, in emails and on the staff sign-in page.

  1. In Trading name, type the name families know you by, for example "Bright Minds Tutoring". It is also used as the website's title.

  2. In Registered company name (optional), type your company's name as registered. Leave it blank to use the trading name.

  3. In Tagline (optional), type a short line about what you offer. It shows in the header, the footer and search results.

  4. Under the boxes, click Choose image. The media library opens.

  5. Click Upload files and choose your logo from your computer (or pick one you've already uploaded in Media Library), then click Use this image.

  6. The logo now shows in the box, with Change image and Remove next to it. You can also leave it and add it later.

  7. Click Save and continue.

Step 3: How people reach you

These details show in the website's header, footer and contact sections.

  1. In Phone numbers, type your numbers, one per line, the main number first.
  2. In WhatsApp number (optional), type a number only if it is on WhatsApp, in international format (for example +447700900123). Leave it blank to hide the WhatsApp buttons.
  3. In Public email, type the address families should see.
  4. In Address, type your centre's address. Line breaks are kept.
  5. In Send notifications to, type the address that should get new bookings, cancellations, enquiries and contact form messages. For several people, put commas between the addresses.
  6. Click Save and continue.

Step 4: What you teach

Tick the subjects, levels and exam boards you teach. Families use them to find the right lesson, and each tutor ticks their own on their profile later.

  1. Under Subjects, tick what you teach: Maths, English, Science, Biology, Chemistry, Physics, French, Spanish, Computer science, History, Geography and Reasoning (11+). Maths, English and Science start ticked.
  2. Under Levels, tick Primary, 11+, KS3, GCSE, A-level or Adult. Primary, KS3, GCSE and A-level start ticked.
  3. Under Exam boards, tick AQA, Edexcel, OCR, WJEC / Eduqas, CCEA, Cambridge International or SQA. AQA, Edexcel and OCR start ticked.
  4. In Other subjects (optional, one per line), type any subject that isn't listed, for example "Economics".
  5. Click Save and continue.

You can add more later under Tutoring → Subjects.

Step 5: Your tutors

Tell the wizard who teaches, and when. Each tutor gets their own timetable. There is room for three tutors here; add more later.

For each tutor:

  1. Type their Name.
  2. In Email (optional), type their email address. It is used for news of their lessons and is never shown on the website.
  3. Under Teaching days, tick the days they teach (Monday to Thursday start ticked).
  4. Set From and Until (they start at 15:30 and 19:30).
  5. Tick Give them a sign-in to see their own lessons and keep their profile up to date if they should have their own account. This gives them the Tutor role; they set their password with "Lost your password?" on the sign-in page. It needs an email address.

Leave a tutor's Name empty to skip that box. Then click Save and continue.

Add photos, qualifications and days away later under Tutoring → Tutors.

Step 6: Lessons and prices

The wizard starts you with three kinds of lesson.

  1. Untick Offer this for any lesson you don't offer.
  2. Change the Minutes and Price to your own. Leave the trial at 0 for a free trial lesson (or "price on request").
  3. Leave Show prices on the website on to show prices. Off: visitors see "Price on request".
  4. Click Save and continue.

Change them, or add more, under Tutoring → Lesson types. Lesson types already there are left as they are if you run the wizard again.

Step 7: Opening hours

Lessons are only offered inside these hours (and each tutor's own hours).

  1. For each day, the Open switch says whether the centre is open. Switch it off for a closed day.
  2. Set the opening and closing times. The wizard starts with Monday to Thursday 15:30 to 20:00, Friday 15:30 to 19:00, Saturday 9:00 to 14:00 and Sunday closed.
  3. In Days the centre is closed (optional), type one date per line, then a note, for example "2026-12-24 Christmas break". Nothing can be booked on those days.
  4. Click Save and continue.

Term dates and holidays are set under Tutoring → Settings → Terms (Pro).

Step 8: Online booking

These settings are also under Tutoring → Settings → Lessons.

  1. Take bookings online starts on. Off: the booking form says to call or email you instead.
  2. Confirm online bookings straight away starts off. Off (recommended): each online booking is a request the office confirms or declines under Tutoring → Lessons, and the time is held meanwhile. On: the lesson is confirmed as soon as it's booked, with the calendar invite at once.
  3. Notice needed (hours): how soon someone can book (it starts at 24, so nothing sooner than a day from now).
  4. Book up to (weeks ahead): how far ahead families can book (it starts at 6).
  5. Offer start times every (minutes): 15 offers 4:00, 4:15, 4:30 and so on.
  6. Gap after every lesson (minutes): time to write notes or move rooms. Each tutor can add their own gap, for example for travel.
  7. Families can move or cancel online until (hours before): after that, the link in their email asks them to call you (it starts at 24).
  8. Cancellation policy (optional): the wording families see. It starts with "Free to move or cancel up to 24 hours before. Lessons cancelled later, or missed, are charged in full."
  9. Click Save and continue.

Step 9: Starter content

This is where the wizard builds your website. Each switch adds one kind of ready-made content. Switch on the ones you want, then click Save and continue. Running this step again never makes copies.

While the starter content is added

When you click Save and continue, a box appears under the switches: Adding your starter content… Please keep this page open. Each part you switched on gets a line that says working… and then done. The sample photos are added a few at a time, so their line counts up, for example Sample photos: 8 of 20.

Keep the page open. It takes a minute or two, mostly for the photos. When everything is done, the next step opens by itself. If the box turns red and says This didn't finish, click Save and continue again: the wizard carries on where it stopped and never adds anything twice.

Step 10: All done

The last screen lists what this run of the wizard did (anything an earlier run added isn't listed again), then gives you four links: See the website, Open Tutoring → Today, Review all settings and Add staff and choose what they can do.

Click Finish. The wizard closes and you land on Tutoring → Today.

What you have at the end

With every switch on, the wizard leaves you with:

  • Your tutors and lessons: the tutors from step 5 and the lesson types from step 6.
  • Pages: Home (the front page), Our tutors, Subjects and prices, Book a lesson, Group sessions, Lesson packages, Term dates, Enquire, Contact and Photo credits, all published. Terms and conditions, Privacy Policy and Cookie policy are drafts.
  • Main menu: Tutors, Subjects and prices, a More list (Group sessions, Lesson packages, Term dates), Enquire and Contact, with Enquire and booking buttons on the right.
  • Sample content: three tutors called "Sample Tutor: Alex Morgan", "Sample Tutor: Sam Patel" and "Sample Tutor: Jo Evans", and a package called "Sample package: 10 lessons".
  • Photos: 20 sample photos in the media library, listed with their photographers on the Photo credits page.

How to remove the sample content

Every sample is named "Sample …", so it's easy to find.

  1. Go to Tutoring → Tutors, type "Sample" in the search box and click search.
  2. Tick the box at the top of the list to select them all, choose Move to Trash from Bulk actions and click Apply.
  3. Do the same under Tutoring → Packages for "Sample package: 10 lessons".
  4. Under Tutoring → Subjects, Tutoring → Levels and Tutoring → Exam boards, delete any you don't teach.

To remove the sample photos, put your own photos on the pages first, then go to Media, search for "Pexels", select the sample photos and delete them permanently. Then update the Photo credits page.
